Only for employees with fixed hour contracts
Employees with fixed hour contracts save up overtime and leave entitlement (holiday hours). When an employee has a lot of overtime in their balance (plus-uren) it could be smart to give them a holiday from those hours. To lower the risk of having to pay out that overtime once they leave.
Where to find the overtime and leave balances
You can find the overtime balance and leave entitlement balance in an employees profile. You can also find it in Reports > Balances.
How to approve a holiday using overtime
In the 'Approve holiday' task it will show the holiday balance and overtime balance if the employee has a fixed hours contract. In the 'Holiday hours to grant' box you can enter the number of holiday hours you want to give for a holiday.
Give a holiday partly from overtime
If you want the employee to take part of holiday hours and part overtime, you put the number of holiday hours you want to give relatively to the total amount of holiday in the hours to grant box. The remaining hours of leave that are needed for the employee are taken from their overtime. This is based on Soigné making a calculation of the total hours of leave the employee needs to take for their number of days of holiday requested.
Example of giving an employee a holiday partly from overtime
Soigné calculates how many hours an employee normally works per day by dividing their contract hours per week by 7 days. For example an employee with a 38h contract will have to work 38 / 7 = 5,43 hours per day. If this employee takes a holiday of 4 days, the system will need to take 4 * 5,43 = 21,72 of hours from the holiday or overtime balances.
If you grant them 10 holiday hours for the holiday, the system still needs to take 21,72 hours - 10 hours = 11,72 hours. These will be taken from the overtime balance.
Give a holiday fully from overtime
If you want the employee to use only overtime balance hours, you put 0 hours in the 'Holiday hours to grant' box. This way the holiday will fully deducted from the overtime balance.
