How to report sick as an employee
When you are sick you can call in sick through the Soigné app.
Open the app, go to the Scheduling tab > Go to 'Me' > press the white + button in the bottom right corner.
Press 'Call in sick'
Fill out when you are expected to be better, if you want to get rid of any shifts and an optional note for your manager.
It's important to note that you always have to call your manager when you are sick as well. Only registering through the app is not enough.
How to report an employee sick as a manager
As a manager you can register an employee as sick by clicking the 🤒 emoji in their shift details pop-up in Scheduling.
Someone that's reported as sick will show as 'Sick' in their employee profile.
Make sure to enter an expected return date when you mark someone as sick. This is mandatory as Soigné will ask the employee if they are better yet on that date, and if the employee says they are their 'Sick' status will be revoked.
How to make sure the sickness ends up on their payslip
Once an employee is marked as back to work, you will get a task asking you what to do with the shifts they have been sick.
You can adjust how many hours per shift you want to register the employee as sick. You can select to apply a wait day (read more about wait days here) as well.
When you press 'Register hours' the payslip of the employee will be adjusted. They will get 95% salary for the hours affected due to sickness, and when you've applied a wait day the first day of sickness will not be paid out to them.
You have to pay on-call employees that have been sick as well. For them a wait day is automatically applied according to the rules of the Dutch Horeca cao. The remaining shifts affected by the sickness are paid out against 95% salary.
Register sickness through the employee profile
You can also register an employee as sick from their profile > Absence > Add sickness.
This will not automatically complete the task to register sickness for the employee, you will have to dismiss this task yourself.
You can pick long-term or incidental sickness. Only pick long-term sickness when someone is sick for more than one month. You can pick incidental sickness when someone has been sick for a couple of days. Select the days they have been sick from the calendar, optionally give a wait day and enter the number of hours per day the employee has been sick. These hours will be paid out against 95% salary automatically.
With long term sickness you decide the percentage against which the salary of the employee is paid. The first year of long term sickness they get 95% salary, the second year they get 75% salary. If they don't follow the rules of re-integration set up by UWV, you can pay them out 70% salary. If you don't want to deduct any salary you can set it to 100%.
Calculate the hours per week the employee will be sick, often the total hours they are expected to work per week according to their contract.
Example of a fulltime employee reintegrating
If a fulltime contract employee (38 hours per week) is reintegrating and is working 1 day per week again, you could for example pay out 30 hours per week against 95%. They will get paid out the remaining 8 hours per week against 100% salary automatically.
