In this guide we'll show you how to set up, create, and publish schedules. We've included tips and tricks and some real-world examples to get you off to a good start.
Step 1: Set up your teams
First, you need to set up your teams. Click on your company's name in the upper left corner. Go to Settings » [select location] » Teams. You can also use the quick menu item Teams to go there directly. Just make sure you're in the right location.
Teams
Soigné has standard teams for service, kitchen, and office. Use these to get started, and edit the team names and emojis to your liking.
👉 Avoid sub-teams
You can add extra teams, but don't overdo it. Keep the number of teams as limited as possible. If you want to work with sub-teams, we recommend using labels instead. This prevents unnecessary complexity, as teams are used across the system and not just for scheduling.
Labels
Labels are used for things like sub-teams ("sake bar"), specific roles per shift ("shiftleader"), standard instructions ("till closing"), and areas ("terrace"). Soigné uses a set of labels per team, which you can apply to your shifts. You can set one or multiple labels per shift.
When teammates are scheduled on a shift with a label, these are always shown in their schedule in the app.
Team members
To make sure everyone can be scheduled, team members need to be added to your teams. While you can easily add or remove team members, Soigné comes with a standard setup which should be ready to go. Also, when hiring new joiners with Soigné, they are automatically added to the right team.
Freelancers
Freelancers and other externals are also part of your team. To add them, go to People and click the ⋮ icon in the top right.
Step 2: Create scenarios
To set up your staffing templates, go to Settings » [select location] » Scenarios. Scenarios are templates per day of the week. Soigné offers three per weekday: slow, medium, and busy. With a total of twenty-one templates, you get an advanced framework for scheduling preparation.
👉 Start with one scenario
To get started, we advise you to keep it simple and work with one, max two, scenarios per day. Make sure these are refined before adding more.
Shifts
Each scenario includes shifts with:
Start and end time
Until needed option
Break times
Labels
Build your standard rosters by adding shifts with times and labels included. These will show up when you create a schedule.
Revenue data analysis
If you want to get more advanced, you can use historical revenue data to add markers to your scenarios.
Make sure you have a revenue-per-day export from your POS system. The simplest way to create revenue buckets is to upload your file to Claude with the following prompt:
"Based on this export of daily revenue data, split the data into three equally sized groups per weekday using the 33rd and 67th percentiles. Exclude days with €0 revenue as non-operating days, and isolate Dutch holidays (e.g. Christmas, Easter, King's Day, Valentine's Day) — list them separately so they don't skew the regular day buckets. Give me the revenue thresholds (Low / Average / High) for each day of the week."
Step 3: Request availability
Before creating your schedule, you need to know each team member's availability. Soigné has a built-in feature to help you request availability from your team.
Go to Schedule » [select location] and click on the ⋮ icon to select Request availability.
You can request availability per:
Week or weeks
Team
Person (just deselect the people you don't want to message)
When you send an availability request, the selected teammates will receive a WhatsApp message. This is a one-time request for updating their availability. When employees do not respond to the request, you can use the agreed availability to build your roster.
👉 Agreed availability
To prevent begging for availability, Soigné works with agreed availability. This is the standard availability agreed between an employee and their manager. While employees are always free to update their upcoming availability, they can't reset their agreed availability. Only you as a manager can edit this on the employee profile.
Step 4: Create a schedule
Now that you've set up your teams and scenarios, and you've got your teams availability, you're ready to make your schedule. Go to Schedule » [select location] and go to a week without any shifts. To open a week, select a scenario for all seven days.
Sort teams
Before you start scheduling, you might want to sort the teams to your liking. Use the drag handles (dotted icon) next to the team names to drag and drop them in a different order.
Assign employees to shift
To add employees to a shift, just click on a shift to open the shift screen. Here you'll find a list of all team members, sorted on fixed hours and availability first. Your freelancers are at the bottom of the list, assuming you schedule them last.
Assigns multiple shifts per employee
To assign multiple shifts per employee, click on a teammate on the right side of the screen to get their availability in split view. Available shifts (green) and squeezes (orange) light up, so you can fill shifts lightning fast.
👉 Flash fill
The fastest way to schedule is per employee. Soigné calls this flash fill, as you can rapidly select and save multiple shifts per employee.
👉 Squeeze
Soigné lets employees submit partial availability. This means they've selected a specific start time, end time, or both, for a specific day. For example: Susan has submitted availability for a Friday from 6 pm to 11 pm. Let's say you have an open shift from 5 pm till closing. It's now up to you whether you schedule Susan with her adjusted times or go looking for another option. Soigné calls this a squeezed shift, indicated in orange on your schedule.
Open shifts
Can't find anyone to fill a specific shift? Mark it as 'Open' to make it available for any team member who's interested. When employees request an open shift in the app, Soigné triggers a task for your approval.
Step 5: Publish a schedule
Publish schedules to make them available to your team. Soigné automatically sends out a WhatsApp message to inform them. You can publish schedules per:

Step 6: Making changes
A restaurant is a dynamic business and changes to your schedule are part of the job. You can easily add extra shifts, or delete existing shifts if you expect a slower day. Don't forget to publish your changes when you're done!
