Agreeing with your manager on your availability
When you start working at a restaurant, you will agree with your manager on your availability. How many shifts do you want to work each week? When are you not available to work?
This is saved in your 'agreed availability', the baseline your manager uses when building each new schedule, and the template you'll start from when giving your week-by-week availability for an upcoming schedule.
Here's where to find it and how to request changes.
Click 'Menu'.
Click 'Availability'.
Click 'Agreed availability' at the top.
Here you can find your agreed availability. When you want to adjust this, you can change the shifts per week if you have an on-call contract. If you have a fixed hour contract you are supposed to work a fixed number of hours per week (e.g. 38 hours per week) and aren't able to change the number of shifts.
Both fixed contracts and on-call contracts can change their availability for the days of the week.
After editing, make sure to request your manager to agree on the changes:

How to let your manager know your upcoming availability
Your agreed availability won't always match real life, some weeks you'll have appointments, trips, or other plans. When your manager requests availability for an upcoming schedule, this is how you flag the days that differ from your usual pattern.
When your manager is going to make the upcoming schedule, you will receive an automated message from Soigné informing you that your manager has requested your upcoming availability.
When you click on the WhatsApp message you will go to 'My availability', here you can edit your future day-to-day availability to let your manager know if your upcoming weeks differ from your normal agreed on availability.
Clicking on a day allows you to adjust your availability of that day. To 'all day', or...
You can change it to 'part of day', when you are able to work, but need to start later than normally, or need to stop earlier. Or...
You can change it to 'can't work' on that day.
How to request a holiday
Holiday requests go through the app so your manager can approve them and your balance stays up to date. Here's how to submit one and check the status of any pending or approved requests.
Click 'Menu'.
Click 'Leave'.
You see your approved and pending holidays. You can also see your overtime balance and holiday balance / leave entitlement here. Click the white [+] to add a new holiday request.
Enter the details of your holiday and submit your request. Your manager needs to approve the request first before it's finalised.
Shifts
Where to find your shifts
Whenever a new schedule is published or your shifts change, you'll get a WhatsApp notification linking you straight to your shifts. Here's what you'll see when you open one.
When a new schedule is published, you will receive a notification in WhatsApp.
You will be informed about new shifts, updated shifts or cancelled shifts.
Clicking the link in the message will bring you to your 'Me' page, where you can find your upcoming shifts.
Clicking a shift will show you when you work, a day note with details about the day, what labels are attached to your shift (closing manager), who you're working with and any specific shift notes with details specifically for you.
You can work until a specific end time or until needed.
How to sync your shifts with your calendar
Syncing shifts to your phone's calendar means you'll always see your work alongside your personal appointments. Setup only takes a minute.
Click 'Menu'.
Click Settings > Calendar Sync > Setup.
Make sure you 'Allow Full Access'.
Pick any calendar you want to sync your shifts to.
Where to find the full schedule of other teams
Sometimes you want to see who else is working, not just your own shifts. The Team view shows the full schedule and lets you filter by location and team.
Click 'Schedule'
Click 'Team'. Here you can see the full schedule. You can filter on all the locations where you work shifts and you can filter on teams per location.
How to work more shifts by taking Open shifts
Open shifts are shifts that still need someone, either because a colleague tries to give theirs away or because the schedule isn't fully staffed yet. Here's how to find them and request to pick one up.
Click 'Schedule'
A red indicator shows how many shifts are open to pick up. Click 'Open'
The list of shifts you can request to take. At the top you can turn on and off 'Shift boost', if turned on, you will get push notifications about new Open shifts.
To take a shift, click it and click 'Request shift'. Your manager has to approve your shift request first before you can definitively have it.
How to ask someone to take over your shift
If something comes up and you can't work a shift, you can share it with your colleagues so someone else can take it over. Your manager still has to approve the takeover.
Click 'Schedule'.
Click 'Me' to get a list of your shifts.
Click on the shift you would like to get rid of. Within your shift, press the 'Share' button in the top right corner.
This publishes your shift in the list with Open shifts for others to take. You can also send a link to the shift in your restaurant's WhatsApp group or directly to a colleague.
How to swap shifts with someone
If you want to work a different shift on a different day, you can offer one of your shifts in exchange for a colleague's. Both your colleague and your manager need to approve the swap.
Click 'Schedule'.
Click 'Team' to see shifts of other colleagues.
Click on a shift of someone to request a swap with them.
Choose one of your shifts you want to offer in return.
After requesting the swap, you can view the status in your shift.
And cancel the swap request or remind your colleague if needed.
Clocking
How to clock worked hours
There are two ways to clock hours: auto-clocking and on-premise clocking. Depending where you work you use the one or the other.
Auto-clocking automatically clocks you in at your start time, you only clock out at the end. Ideal for when people often forget to clock in or out.
With on-premise you have a pin code that you use to clock in and out on a physical device in the restaurant, like an iPad. When clocked in, you can still clock out on your phone using the same clock out flow as with auto-clocking as well. The main difference is that you're not automatically clocked in at your start time. Ideal for when people are often late for work.
Auto-clocking
With auto-clocking a live widget will appear on your lock screen at the start of your shift. Click 'Clock out'.
Alternatively, when you open the app you also see your active shift on top of your Menu bar in the bottom of the app. Click 'Stop' if you want to clock out.
Open your ongoing shift, click 'Clock out'.
Let your manager know if you actually started at your start time, or if you were late or started earlier. Your manager will see what you choose. Then enter your end time and break time.
Check the summary of your shift and clock out.

What if you don't have a smartphone?
If you don't have a smartphone you will be auto clocked in, but you are not able to clock out. Your manager can enter your end time for you when approving the hours for the day. Make sure to let them know the times you've worked.

How to cancel a clock-in when you're not working
When the place you work at uses auto-clocking, it could be that you are automatically clocked in at the start of an old shift; one that you might have swapped or asked to stay home for. This means the manager forgot to update the schedule and your old shift is still in there while you are not working.
In that case you can cancel your clocked in shift by pressing 'Clock out'
Or 'Stop'
Click 'I'm not working this shift'.
Explain why you aren't working. Did you swap shifts? Were you too late and got sent home? Were you on standby and did someone call you to stay home? Did you call in sick that morning? Your manager will read this after their shift.
What to do when you forgot to clock out
You leave work and forget to clock out. You can fix it yourself the next day without needing to ask your manager.
Click 'Schedule'.
Click 'Me' to go to yesterday's shift.
Click on yesterday's shift.
Click 'Forgot to clock out'.
Clock out as you normally do.
How to manually add worked hours
Sometimes you work hours that weren't on the schedule, or your shift wasn't set up in the app. You can add those hours manually and your manager will approve them.
Click 'Schedule', then click the white [+] button.
Click 'Add hours'.
Select the day you worked, what team, your start time, end time and break time.
Submit your hours.
Wait for approval from your manager before they are official.
