Working with My Tasks
You can find all tasks that are assigned to you in My Tasks. By default the filters are set to only show your tasks. If every manager follows their responsibilities and checks 'My Tasks' twice per week to do their tasks, you will always be compliant.
But this does mean every manager with responsibilities has to check it, which not always happens. We would always advise you to tell your managers to do this, but if someone for whatever reason isn't doing it, you can also change the assignee of the task in order to see tasks of others.
Press 'x' next to your name to see tasks of others. Or change the name to a specific manager to see their tasks.
It's important to know that you can only see tasks of which you have the right to complete them. For example if you do not have to right to pay salaries, you will never see the 'Pay salaries for on-calls' task, even if you set your filters to see all tasks.
Do you believe that you should be able to do certain tasks, ask your manager or the restaurant owner or someone at head office to give you more rights under Settings > Managers. Soigné does not adjust rights for you if you request this.
Recruitment tasks
You can find all your recruitment tasks, not assigned to anyone specific, under the Tasks tab in Recruitment. This is an easy way to see a collection of everything that needs to be done around Recruitment, regardless of who's responsible for the task.
You can see the following tasks there:
Re-evaluate contract (when someone has rejected a contract offer)
Send contract (when a draft contract has been created but still needs to be send to an employee)
Sign contract (when you have to sign a contract that is signed by the employee)
Awaiting signature from new employee (a task for a new employee to sign, they can't see this task, but you can to keep an eye on who still needs to sign their contract)
Confirm or end employment for probation (at the end of the probation period of a new employee you need to choose if you want to hire them or not)
Scheduling tasks
You can find all task around Scheduling under Scheduling > Tasks. Be aware you will only see them if you have the rights to see them.
Look here for all pending approve hours tasks, regardless of which manager it's assigned to. This is an easy view when you have to pay your on-calls and there are still approve hours tasks open. It's also handy to check which managers are not doing their tasks.
You will also find tasks around approving holidays, approving new agreed availabilities, shift switches and shift swaps here.
Pay tasks
You can find all tasks around paying employees and wage tax under Pay > Tasks. Be aware you will only see them if you have the rights to see them.
If a cycle is blocked, always look here to see if there are still tasks that need to be done for previous cycles. It could be that you need to finalise a previous cycle first for the next cycle to open. This Pay > Tasks overview will show you what you still need to do.
Tasks in your Soigné app
As a manager involved with scheduling and approving hours, you will also be able to do Scheduling tasks in your Soigné app on your phone. Read more about how to do Scheduling tasks from your app here.
Frequently asked questions
I can't find a certain task for a certain employee
If you want to see tasks for a certain employee, go to their profile > Tasks. If you don't see any tasks, you don't have the rights to view them. You can ask a manager or owner for more rights, which they can give you through Settings > Managers. Soigné does not give you more rights when requested.
One of my managers says they can't approve hours
Tell your manager to log in into Soigné and go to 'My tasks'.
If they still don't see their tasks there, tell them to remove the assignee filter, so they can check if the tasks are there assigned to other managers.
If there is still nothing there, you can check 'Scheduling > Tasks', to see who the tasks are assigned to.
I think the approve hours tasks should be assigned to another manager
You can assign tasks per team under 'Settings > Task owners'.
At the top you can select the team of which you want to assign tasks.
Per category you can expand it to see the tasks. Click on the avatar on the right to change the task owner.
Multiple managers doing the 'Approve hours' task
More than one manager can do a task, depending on their rights in Settings > Managers. But only one manager can be the final responsible person for a task. In case other managers don't do the task, this manager is responsible to do it.
It's build this way so you always have someone to blame if a task hasn't been done. With shared responsibility managers could start pointing at each other.
To see who else can approve hours for a team, hover on the number next to the person icon. This means Lou is the final responsible person for the task, but Sjoerd, Imke, Finn and Lucas can also approve hours for that team if needed.
This way, when Lou is not on the floor / not working, another manager out of those four that is on the floor will get the responsibility for the approve hours task of that team that day.
When multiple managers are working at the same time, the one that is scheduled to end their shift last will get it. When multiple managers end at the same time, the system looks at the manager with the highest position. When that's the same as well the system assigns the task to the manager working at your restaurant the longest.
One of my managers says they can't see a certain task
Go to 'My Tasks', change the assignee filter from yourself to that manager. Check if tasks show up. If no tasks show up it means the manager isn't a task owner for the tasks, or it could be that they are able to approve hours tasks but haven't worked shifts yet that made them responsible to approve hours.
I want to pay my employees but can't find the tasks to approve hours that is still blocking me
Go to Scheduling > Tasks to find all tasks around approving hours, regardless of who they are assigned to.
